Digital asset management
Digital asset management, or DAM, refers to a system that centralizes an organization’s media (images, videos, logos, documents, design templates) together with what makes them findable and usable correctly: metadata, versions, format renditions and usage rights. Everyone then knows which version is approved and whether it can still be used.
Definition and how it works
A DAM answers a specific problem. The same file circulates in ten copies across shared folders, email and agency drives. By centralizing the master file and its rights, a DAM lets everyone find the approved version and know where and until when it may be used.
Benefits and selection criteria are covered in our article What is Digital Asset Management (DAM)?
Digital asset management vs file sharing: the differences
A PIM manages product data, to which a DAM supplies the visuals. A content management system publishes the content in which these media appear, including in a headless CMS architecture. The DAM vs CMS entry details how the two fit together.
| Tool | What distinguishes it |
|---|---|
| File sharing | Stores, syncs and shares files. |
| PIM | Manages product information. The DAM supplies the visuals. |
| CMS media library | Stores the files a site uses. Having a media library is not the same as having a DAM. |
Frequently asked questions
When does an organization need a DAM?
When the same media serve several channels or teams, when agencies or partners produce or use them, or when their rights are limited in time or geography. As long as a single site uses its images with no rights constraints, the CMS media library can be enough.
Should agencies and partners have access to the DAM?
Yes, through a brand portal rather than by sending files around. The agency or distributor takes the approved version directly. The condition is that every access is bounded by a selection of media, a duration tied to the assignment and an owner who removes access when the collaboration ends.
